 NRC has been present in Nigeria since 2015 and has been working to help displacement-affected communities meet their basic needs, improve their livelihoods, access essential services, and enhance their resilience to future shocks through our six core competencies: water, sanitation, and hygiene (WASH), Shelter, Education, Information-Counselling and Legal Assistance (ICLA), Livelihoods and Food Security (LFS), Camp Management, and Protection. NRC provides immediate assistance during the onset of emergencies through the rapid response mechanism (RRM). With a workforce of 370 staff and a presence in key locations such as Maiduguri (in Borno State), Yola (in Adamawa State), and Jos (in Plateau State), NRC can respond to the needs of those affected by the conflict across North-East, and North Central Nigeria.

These strategic locations have allowed NRC greater reach from the north and south parts of the North-East and North Central region and allowed NRC to contribute to bridging the gap between humanitarian aid and development cooperation, including by focusing on equitable access to basic services and strengthening the rights of displaced people and returnees. In addition to the Country Office and the above-mentioned Area Offices, NRC has sub-office structures in Monguno, Mubi, Pulka, and Gwoza.

If you are one of those people, the Norwegian Refugee Council in Nigeria is looking for an enthusiastic and passionate HR & Admin Assistant to join our team in Jos, Plateau State. The purpose of the assistant position is to assist in the day-to-day implementation of the HR/Admin support functions' responsibilities. 

This includes (but is not limited to) the management of transport, assets, and inventories at the office level.

Responsibilities

  • Ensure proper and systematic filing of all personnel files in hard copies and on NRC’s shared filing tree as per NRC’s standard checklist.
  • Maintain and update staff files continuously at the Area Office 
  • Support the recruitment process by collecting applications, longlisting, scheduling examinations, and administering tests. 
  • Support new hires with documentation and medical enrolment. 
  • Support in communicating policies, benefit information, and other updates as directed. 
  • Maintaining a database of field office recruitment 
  • Support with new staff on-boarding, and scheduling of briefing with relevant departments and assist in email address requests for new staff. 
  • Guide and orient new staff on completing all mandatory online training and provide a report on their progress and support in Issuing contracts for both casual workers and full-time workers 
  • Support in the Management of employee records on NRC People at the area office  level 
  • Issuance of stock requests to the relevant department, updating, and sharing the stock report monthly. 
  • Support in maintaining a clean and safe work environment for staff.
  • Ensure that office and guest house supplies are requested and timely distributed. 
  • Tracking of NRC Tracking tools (Timesheet, Payslip, Stock, Inventory, annual Leave, circumstantial leave, other leaves, etc.) and report monthly.
  • Preparing and circulating the Minutes from staff meetings 
  • Booking of hotel accommodations for visitors and maintaining cordial relationships with vendors and service providers.
  • Predation of payment schedules on time and ensuring approvals by the AM and Finance departments. 
  • Supervising of the cleaners and the cook 
  • Any other task assigned by the Line Manager 

Qualifications

Professional competencies: 

  • 2 years of experience working as a Support Function in a humanitarian/recovery context 
  • Previous experience from working in complex and volatile contexts.
  • Documented results related to the position’s responsibilities 
  • Excellent speaking and writing skills in English
  • Relevant experience in synthesizing and processing a considerable volume of HR documents

Context/ Specific skills, knowledge, and experience: 

  • University degree from a reputable university in Human Resources, Public Admin, Mass Communication, or any Social Sciences. 
  • Fluency in English both written and verbal, Fluency in Hausa is an added advantage.
  • High-level competence in computer skills (Microsoft Office applications)
